Applications, Letters of Offer, BER evidence, Declarations of Works, payment requests, invoices, and Reworks are classified into one reviewable job file.
Files can include names, addresses, MPRNs, and payment evidence. We keep access limited and can put a DPA in place before file sharing.
The issue

Why now
The point is simple: when grant rules move, the file has to move with them. Velox exists to keep that admin under control before it slows payment.
SEAI updated a number of grant values from March 2026, which raised the cost of getting a file wrong.
The updated BER scale comes into force on 24 May 2026, so assessment timing and evidence need to line up cleanly.
When jobs are busy, the contractors with the cleanest paperwork lose less time to rework, chasing, and payment delays.
What we do
Velox is designed to feel like the admin queue is being handled in the background. Send the job information and paperwork once, then the workflow classifies files, checks rules, builds the chase list, and keeps each job moving toward a cleaner payment pack. The work is service-led, with internal software keeping rules, dates, documents, and file notes in one reviewable workflow.
Applications, BER documents, product evidence, invoices, Declarations of Works, photos, and payment forms are sorted into a working job file instead of sitting across email and folders.
The workflow checks build year, BER position, grant route, Letter of Offer dates, measure conflicts, missing evidence, and payment-pack blockers against the current ruleset.
Open items are turned into clear actions: chase BER assessor signature, request product cert, confirm MPRN, check works date, or prepare the next form.
Velox assembles the file, checks it against the expected evidence, and reviews the important calls before anything is treated as ready.

Share recent jobs, live jobs, or the current folder structure. Velox turns the paperwork into one job file per property.
Documents are classified, dates are read, grant rules are checked, and missing items are split into practical next actions.
Each job is tracked by eligibility, evidence, Letter of Offer clock, BER position, DoW status, Reworks risk, and payment-pack readiness.
The important checks are reviewed by Velox before a file is treated as ready, so contractors are not left babysitting another dashboard.
Admin autopilot, with review where it matters
Velox is not trying to sell contractors another dashboard to manage. The system handles the repeatable admin work: file sorting, rule checks, date tracking, missing-item queues, and payment-pack status. Velox then reviews the exceptions and the final file decisions.

If there is a fit, Velox supports live and upcoming jobs month to month. Recent files can be checked during onboarding so we understand the current process, but the real service is ongoing admin handling, not a once-off report.

For contractors with regular SEAI work, Velox gives each job a structured file path: eligibility, application pack, evidence, BERs, Letter of Offer dates, Declaration of Works, payment-file readiness, and Reworks follow-up. The contractor does not need to work out the admin sequence. They see what is ready, what is blocked, what Velox is chasing, and what needs their attention.
The service is still founder-led. The software sits behind the work: document parsing, route-specific checklists, rules checks, status tracking, activity logs, and exception queues. Contractors do not need to learn a new platform on day one or manually manage every grant admin step themselves.

For a complete starter pack, we aim to map the workflow and identify the first blockers within 24 hours. Ongoing support then depends on grant volume, file access, and how quickly missing information is supplied.
Not at the start. Velox uses software internally to classify files, track rules, dates, blockers, and review notes, but the contractor experience can stay close to email, shared files, WhatsApp, and short check-ins until a better workflow makes sense.
Yes, but the first version of Velox is focused mainly on independent and small-to-mid-sized SEAI contractors. Larger workflows can be discussed separately.
We treat customer data as confidential and handle it under GDPR principles. That means access is limited, files are stored securely, and a data processing agreement can be put in place where needed before you share customer names, addresses, MPRNs, or job records.
